Rates

A book to be published by the end of the year (2015, we hope) will have a poem, a song and some pictures of mine. I am not the author. Advice is sought about how much to charge for this. TIA.

Can you please elaborate? I'm not clear about what you're charging for. Are you charging for the use of your poem, song and pictures? Are you charging for editing and typesetting? What about cover design and printing/ebook conversion?

Michelle, sorry for the lack of clarity. The author has asked if my poem, song and pictures can appear in the author's book. I agreed to this and am now seeking advice about how much to charge. There are no editing, typesetting, cover design or printing costs for me. I'm selling the use of my material for this book while retaining copyright, subject to not using the material in a for-profit area for a while. Details are being negotiated.

Sorry, the subject line threw me as "Rates" suggest you might offer a regular service of some kind. You can charge a flat fee or ask for a percentage amount based on projected royalties. However, if the author doesn't know what the print run will be, or if it's for non-profit use, this could be difficult to work out. The ASA has a fee schedule for writers based on a cents-per-word arrangement, although I think this is more for commissioned/exclusive works rather than reprint rights.
